What you will be doing

Under general direction of the Workplace Manager, the Workspace Sr. Coordinator, supports the Facilities and Office Services Department at the AB Campus. The Workspace Sr. Coordinator performs various duties to include space planning and move management, facilities maintenance, vendor management, and office reconfiguration.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Perform preventative maintenance and coordinate equipment repairs with vendors for the break rooms. Equipment includes, but not limited to ice machines, refrigerators, freezers, microwaves and coffee machines. Compile and maintain a prioritized list of recommended upgrades and general maintenance repairs.

  • Coordinate maintenance and repairs for plumbing, recycle and trash compactors and audio-visual equipment.

  • Lead a single project and/or multiple tasks and provide technical oversight to team members.

  • Perform move planning, preparation and coordination for medium and large size moves. These activities may include review of the move request (work order), update move requirements as necessary, develop move scenarios, coordinate with the requesting organizations move coordinator, coordinate vendor support, coordinate IT support and oversee the move.

  • Perform preparation and implementation of restack and remodels. This typically includes performing coordination with administrative staff, property manager and building engineer, furniture company and electrical and data cabling vendors. Also requires update of floor configuration in the space management tool (iOffice).

  • Use building systems to adjust lighting and temperature or contact property manager or building engineer for support.

  • Coordinate with vendor to change out lighting ballast and drivers.

  • Adjust building music. Adjust building white noise.

  • Coordinate fitness center equipment maintenance with the vendor and in some cases adjust equipment independently.

  • Share technical knowledge and provide on the job training during project and task execution.

  • Serve as an alternate facility point of contact for emergent maintenance issues for the site.

  • Maintain and promotes positive and professional working relationships with associates, teammates and management.

  • Comply with policies, procedures safety rules and regulations.

  • Perform related duties as assigned.

What your background should look like

  • Requires a minimum of 5 years of experience.

  • Completion of a 2-year associate degree or trade school certificate preferred.

  • IFMA or BOMI credentials a plus.

MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:

  • Knowledgeable of standard practices and procedures of construction trades such as plumbing, HVAC, electrical, carpentry, painting and mechanical systems, including materials and tools; applicable code requirements; methods and practices followed in the maintenance of tools, machinery, and equipment; safety precautions to be observed in the maintenance and installation of electronic and mechanical equipment.

  • Must be able to perform physical activities such as bending, standing, climbing or walking.

  • Must be able to safely use manual tools and power equipment common in Building Maintenance, must be able to understand the need for Personal Protective Equipment (PPE) when necessary, to perform a specific function safely.

  • Must have strong interpersonal, organizational and analytical skills.

  • Need to have the ability to communicate effectively both orally and in writing.

  • Must be able to prioritize and manage multiple responsibilities in a fast-paced environment and to resolve issues quickly and efficiently.

  • Should demonstrate sensitivity to, and respect for a diverse customer base.

  • Ability to multitask and meet time sensitive deadlines.

  • Intermediate knowledge of Microsoft Office Suite, MS Teams and SharePoint is required.

Associate is frequently required to stand, walk (or otherwise be mobile). Ability to deal with stressful situations as they arise.
