Position Summary:

Under the direction of the Director of Academic Programs, Planning & Quality Assurance, the Administrator, Academic Programs is responsible for working closely with the other members of the VPAP office to review, reconcile, establish and maintain detailed and accurate records relative to the work of the office. In particular, associated with the development of tools/solutions to improve the Curriculum Management system, and the VPAP SharePoint hub, the incumbent will be responsible for generating, inputting, reviewing and testing initial data sets associated with the projects. As part of the creation of tools/solutions for projects, the incumbent will work to generate and verify program data working in close consultation with Faculties/ Divisions.


As part of this, the incumbent will require a good understanding of academic program policies and processes at the University and in particular of the UTQAP policies. An important part of this will be a strong aptitude for accuracy and thoroughness in record keeping and an interest in generating and maintaining complete and verified data sets for academic programs.

Qualifications Required:

Education:

  • Post-secondary degree/diploma or formal business/commercial school training, or an equivalent combination of education and experience.

Experience:

  • Three (3) years of administrative experience required, preferably within a post-secondary or government environment.
  • Demonstrated administrative and record-keeping ability in a dynamic senior executive office.
  • Experience with Wordpress an asset.
  • Experience with ROSI an asset.
  • Experience with Kuali Curriculum Management an asset.

Skills:

  • Proficiency with MS Word, MS Access;
  • Experience using databases, Excel, Outlook, and the Internet.
  • Must have knowledge of Blackboard and the University’s content management system.

Other:

  • Strong analytical, decision-making and organizational skills.
  • Demonstrated ability to draft clear and concise correspondence.
  • Strong customer-service orientation.
  • Demonstrated initiative, accuracy and meticulous attention to detail.
  • Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature.
  • Ability to organize a heavy and fluctuating workload in a changing environment.
  • Ability to work under pressure and to meet deadlines.
  • Ability to work effectively and professionally, both independently and within a team environment.
