About us:
The Enterprise Applications and Solutions Integration (EASI) department within the Chief Information Officer’s (CIO) Division is a central department responsible for all matters pertaining to the development, maintenance and effectiveness of the core administrative management and student systems at the U of T. Included within these responsibilities are all central SAP systems, such as Financial Services, Human Resources, Research Administration and Procurement; the central U of T Student System (ROSI); approximately 40 related vendor and specialized web applications, as well as central Business Intelligence and Document Management applications.
Your opportunity:
Under the general direction of the Executive Director, Enterprise Applications & Solutions Integration or their designate, you will be part of a dynamic, collaborative and innovative team focused on delivering transformational technology solutions to the University. Through your efforts in this position, you will directly help improve the University’s administrative management and student systems.
Your responsibilities will include:
- Oversee the ongoing management of the EMS room scheduling system and be responsible for the configuration of the system to support business operations as needed.
- Create user templates/booking guidelines to restrict room access as required. Create and modify EMS security templates. Modify existing booking rules based on business needs.
- Manually create new user accounts & assign booking templates if the automated process is not applicable
- Resolve booking conflicts; approve/decline booking requests for various buildings.
- Work with various faculties and divisions to onboard new buildings into the EMS room booking software.
- Data gathering for the onboarding of new rooms/buildings into EMS room booking system (e.g. Room resources/amenities, booking rules, room capacity, creating room mailboxes, uploading building floorplans, creating booking profiles for room sign touch panels etc.)
- Create user guides, technical documentation and provide end user training for the EMS room booking software.
- Be the main point of contact to the vendor and liaise with them regarding ticket openings and escalation, provide various event and room utilization reports as requested.
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum four years experience.
- Intermediate to expert knowledge of Accruent EMS software, or equivalent.
- Demonstrated ability to work effectively both as part of a team, but also independently.
- Demonstrated experience providing front-line customer service to a variety of clients (e.g. staff, external clients, vendors, etc.)
- Demonstrated ability to prioritize tasks and responsibilities, work well under pressure, meet strict deadlines and make sounds judgements.
- Excellent communication (both oral and written) and interpersonal skills.
- Strong computer skills with Microsoft 365.
Assets (Nonessential):
- Familiarity with the University’s organizational structure.
- Proven ability to organize and handle a variety of duties, deadlines and schedules simultaneously under minimal supervision.
