Your opportunity:


Under the supervision of the Assistant to the Dean of Students, Senior Administrative Coordinator, the incumbent provides administrative and operational support to UC Residences and the Office of the Dean of Students. Responsibilities include: coordinating the logistics for residence operations and collaborating with residence facilities, residence life and residence desk staff. The incumbent will also provide logistical and administrative support for operational residence events and activities (i.e. Fall Campus Day, Welcome Sessions, Residence Tours, Move-In and Move Out processes, Winter Break housing, Summer student housing, residence key management for staff and student staff).

This will include directing the activities of casual staff (i.e. tour guides and residence admissions assistants). In addition, the position will be updating and maintaining the Residence web pages; being the first point of contact and answering inquiries regarding the residences, residence admissions and conference space; responding to inquiries about the residence application process and the status of their applications; processing residence applications; updating and maintaining databases; compiling reports (i.e. residence inventory reports); booking audio-visual equipment needs and assisting with set-up; and assisting with promotional materials for the summer residence (i.e. social media updates, information sheets, and e-newsletters).

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries

  • Resolving issues withinthe scope of the role and escalating problems as required

  • Booking rooms and arranging appropriate accommodations

  • Responding to routine reservation enquiries

  • Editing content for brochures, newsletters, websites and/or handbooks

  • Determining logistical details and activities for events and/or programming

  • Providing guided tours of facilities

  • Coordinating the recruitment process and training of casual staff

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.

  • Minimum three years recent and related experience working with undergraduate students and providing front line student services, including providing information and support to a diverse student population.

  • Experience with StarRez and MyRes portal, and ROSI/ACORN.

  • Experience working with data and generating reports.

  • Experience updating and maintaining websites and socialmedia.

  • Experience planning event logistics including room bookings and catering.

  • Experience coordinating tours and supervising casuals.

  • Experience supporting the residence admission process.

  • Experience booking audio-visual equipment needs and assisting with set-up.

  • Demonstrated advanced skill in Microsoft Office Suite, StarRez, ROSI Express.

  • Intermediate skills with a content management system (WordPress), Adobe Creative Suite and social media platforms (Facebook, Twitter, Instagram).

  • Strong administrative, organizational and event coordination skills.

  • Excellent public speaking, oral and written communications skills.

  • Excellent organization and time management skills with the ability to multi-task and meet strict deadlines and meticulous attention to detail.

  • Advanced data entry skills and ability to work with large databases.

  • Excellent customer service skills providing detailed information and providing assistance and support to clients/customers.

  • Demonstrated understanding of student-centred approach with sensitivity to principles of equity and inclusivity.

  • Ability to exercise sound judgement, tact, and diplomacy.

  • Must be able to work as a member of a diverse team in a sometimes unpredictable environment.
