Your opportunity:

Under the general supervision of the Director, the incumbent provides administrative support for the Student Engagement team, including general office support (e.g. scheduling, general inquiries, filing, data entry, following up with students and campus partners); any issues or changes required with office computers and other technology; coordination of staff on-boarding and related logistics; scheduling of events, room bookings and reservations; other administrative tasks (e.g. key inventory, FIS requests, caretaking, office supplies, mail etc.) and special administrative projects (including the generation of routine reports and materials). This position also provides front line support for the resource lounge and some reception duties, responding to in-person, phone, email, and online chat inquiries.

The incumbent also takes the initiative to help ensure that deadlines and schedules are met; participates in the coordination of mass mailings; coordinates archiving and shredding services; monitors and orders office supplies and catering services; and performs other duties as required pertaining to the maintenance and operationof the team.

The incumbent must present a professional image by interacting knowledgeably and courteously with a variety of individuals including senior administrators, faculty, staff, students and community members. This position requires excellent communication, analytical, organizational and time management skills. The incumbent must be able to carry out a broad range of duties while exercising tact and good judgement. It is important to be able to adapt rapidly from one function to another while maintaining efficiency and accuracy, especially under pressure.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Resolving issues within the scope of the role and escalating problems as required
  • Applying established standards to control the distribution of access to designated University spaces
  • Documenting and maintaining standard operating procedures
  • Advising students on the interpretation of rules and regulations regarding the use of space and organizing events on campus
  • Determining logistical details and activities for events and/or programming
  • Booking rooms and arranging appropriate accommodations

Essential Qualifications:

  • Advanced College Diploma (3 years) or an acceptable equivalent combination of education and experience.
  • Minimum three years related experience in a student services position, in an administrative role.
  • Experience working with a student development approach.
  • Experience providing excellent customer service to a wide variety of diverse stakeholders and providing assistance and support to clients/students.
  • Experience with maintaining office systems (including databases) and interpreting office guidelines.
  • Familiarity with the University of Toronto, its policies, procedures and their application.
  • Advanced computer skills in Microsoft Office (must be able to set up templates and macros in Word and Excel, set up Excel spreadsheets including formulas, and prepare sophisticated PowerPoint presentations).
  • Ability to analyze data and produce effective reports.
  • Excellent oral and written communication, interpersonal, active listening, analytical, decision-making and organizational skills.
  • Demonstrated initiative, accuracy and attention to detail.
  • Demonstrated judgment, tact, discretion and ability to handle matters of a sensitive and confidential nature.
  • Ability to organize a fluctuating workload in a changing environment under pressure to meet deadlines.
  • Ability to work effectively both independently and within a team environment.

USW Pay Band 09 -- $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
