As a Postgraduate Program Assistant, you will play an integral role serving as one of the primary administrative resources supporting programs within the Department of Psychiatry. You will coordinate a wide variety of program tasks that require a great deal of tact, and adaptability within an unpredictable, fast paced environment. Your exceptional organizational skills, time management, and attention to detail will contribute to the success of our programming within the Department of Psychiatry.


Your responsibilities will include:

  • Providing detailed information to learners on program and/or course requirements
  • Acting as the first point of contact for general inquiries and responding within the defined scope of the role
  • Liaising with learners and faculty to coordinate program activities and schedules
  • Keeping well-informed on policies, rules, regulations and guidelines
  • Coordinating meeting schedules, including committee meetings, agendas, and action items; Taking and distributing meeting minutes
  • Determining logistical details and activities for events and/or programming
  • Handling sensitive and/or confidential information

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two (2) of front-line administrative experience in a university, medical school, teaching hospital or comparable environment
  • Experience coordinating education programs, projects and managing priorities
  • Experience organizing and executing large events both in person and virtually
  • Experience scheduling appointments and resolving scheduling conflicts
  • Experience supporting and coordinating committees, including taking meeting minutes
  • Proficiency with MS Office Suite
  • Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
  • Exceptional interpersonal and communication skills, both verbal and written, organizational skills, strong proof-reading and editing skills
  • Ability to multi-task in a fast paced environment and effectively prioritizing activities
  • Demonstrated ability to take initiative to improve processes
  • Ability to work well independently but also as part of a team
