Your opportunity:

Under the general supervision of the Academic Programs Officer, the Joint Programs Coordinator is responsible for the coordination of the joint programs of the University of Toronto Scarborough (UTSC) and Centennial College. The incumbent will work closely with the administrators of the joint programs at UTSC, the UTSC Registrar’s Office and the Academic Partnerships Coordinator at Centennial College to resolve administrative complexities that may arise in the coordination and delivery of programs and services between the two partner institutions and provide ongoing academic and logistical coordination, problem-solving and support for joint program students, faculty, and administration. This includes overseeing new program start-up activities and assisting the Academic Programs Officer in reviewing documents for new joint programs or those joint programs with major modifications, and ensuring that policies and agreements of both institutions are adhered to in both practice and procedure. The Joint Programs Coordinator will play a crucial role in ensuring the success of joint programs, maintaining relations with an important partner, and coordinating all stakeholders to ensure alignment across administrative processes, programs and services across the two institution and identify and resolve issues.

Your responsibilities will include:

  • Fostering cooperative working relationships with a wide variety of internal and external contacts
  • Conducting detailed data analysis to inform management decision making
  • Liaising with internal contacts to ensure consistent administration of embedded student support services
  • Conceptualizing, organizing and executing event activities and coordinating meeting schedules, agendas, materials, action and follow-up items
  • Promoting programs at recruitment events
  • Researching and analyzing processes, programs and services and recommending changes for improvement
  • Delivering presentations to promote programs, opportunities and/or initiatives
  • Serving as a resource to others by providing (non-supervisory) job-related guidance

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum of four (4) years of recent related and demonstrated experience with coordination and stakeholder relations and working with academic programs within a large post-secondary institution.
  • Experience in advising students and faculty members on academic guidelines and procedures
  • Experience in developing and presenting information on business processes to a wide range of audiences
  • Demonstrated experience in development of meeting agendas, production of supporting documentation and minute taking
  • Demonstrated skills in developing and proofreading written instructional/informational resources (whether in print or online) for at least one of the following audiences: faculty; university/college staff; post-secondary students
  • Demonstrated skills in producing and delivering orientation presentations to small or large groups
  • Must possess strong interpersonal skills with the ability to work well in a team environment and maintain productive and respectful working relationships with all stakeholders including staff, faculty, students and external partners.
  • Advanced proficiency in Microsoft Word, Excel and PowerPoint with the ability to create and manipulate detailed reports in Excel.
  • Ability to handle confidential information with tact and discretion; adhering to established policies and procedures.

Assets (Nonessential):

  • Experience using Student Information Systems (i.e., ROSI, ROSI Express)
  • Experience advising students on academic matters and providing administrative leadership and support to an academic program
  • Experience working in both university and college settings
  • Education in/knowledge of one or more of the following areas is an asset: process improvement, project management, business analysis
