Your opportunity:

Under the general supervision of the Manager, Finance & Operations and day-to-day direction of the Chair, the Assistant to the Chair is responsible for providing a full range of confidential secretarial and administrative support to ensure the efficient operations of the Chair's office including but not limited to academic processes for searches, reviews, tenures, promotions, PTR, and research and study leaves, and managing all aspects of an intensive appointment schedule.

Staff members in the Department of Biology are an integral part of the student experience at UTM, supporting technical needs and offering helpful and friendly advice on academic matters. Our leadership team provides an open and professional environment that fosters a culture built on respect, goal orientation, self-motivation, accountability and teamwork.

Your responsibilities will include:

  • Applying established standards when administering academic search activities
  • Implementing plans and process improvements for tenure and review activities
  • Collecting feedback from search committee members
  • Experience Coordinating meeting schedules, agendas, materials, and preparing itineraries and scheduling travel plans
  • Collecting requirements needed to carry-out the tenure and review processes from senior leadership
  • Experience drafting, editing and preparing a variety of internal and external written communications
  • Keeping well-informed on leadership commitments and priorities

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum three years of related administrative experience, preferably in university setting
  • Experience providing administrative support including coordinating meeting schedules, preparing itineraries and scheduling travel plans.
  • Experience drafting, editing and preparing a variety of internal and external written communications
  • Experience with SuccessFactors or comparable hiring platform.
  • Experience using SharePoint, including file management and creating permission groups
  • Highly service-oriented with a genuine commitment to fulfill the department's mission and to offer quality service while fostering positive working relationships with all areas of the University
  • Precise keyboard/keypad use where possibility for correction is minimal
  • Proficient with Microsoft Office (Excel, Word, Power Point)
  • Ability to multi-task and manage deadlines

USW Pay Band 10 -- $70,844. with an annual step progression to a maximum of $90,595. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
