About Us:
The University of Toronto Libraries (UTL) system is the largest academic library in Canada and is ranked sixth among peer institutions in North America. The system consists of 42 libraries located on three university campuses: St. George, Mississauga, and Scarborough. This array of college libraries, special collections, and specialized libraries and information centres supports the teaching and research requirements of over 280 graduate programs, including over 60 professional programs, and about 700 undergraduate degree programs. In addition to more than 15 million volumes in 341 languages, the library system currently provides access to millions of resources in various forms, including, for example, electronic, audio-visual, and geospatial materials. UTL also has over 31,000 linear metres of archival material. More than 150,000 new print volumes are acquired each year. The Libraries' data centre houses more than 500 servers with a storage capacity of 1.5 petabytes.
Your Opportunity:
The Finance Associate (6 month term) is a member of the UTL’s financial team, providing a range of specific financial services. Working with considerable independence under the direct guidance of the Associate Director of Finance and the Manager of Accounting and Budgeting and collaborating with the Business Procurement Officer as necessary: responsible for the financial management processes associated with operating, acquisition and restricted fund budgets. This includes, but is not limited to: processing all day-to-day financial transactions for accounts payable and receivable invoices, expense reimbursements, deposit reports and journal entries in the Financial Information System (FIS) and internal systems (e.g. Library Services Platform(LSP), Point of Sale(POS) etc.) as required; completing weekly / monthly reconciliation of statement of accounts and accounts receivable; liaising with various UTL departments and central University administration offices (Financial Services, Procurement etc.); completing monthly, quarterly, annual and ad-hoc reports for specific accounts when necessary. The Finance Associate works as a member of the UTL financial team and as such is trained to complete work assigned to other members of the team during overload situations and/or during periods of illness or vacation. The Finance Associate may also be required to assume the responsibilities of other team members from time to time and assists other members of the team when necessary.
QUALIFICATIONS (Minimum):
EDUCATION:
- University Degree in Business Administration or Accounting; advance standing in a recognized accounting program an asset; or acceptable equivalent combination of education and experience.
EXPERIENCE:
- Minimum of three years of related experience in a computerized accounting environment working on AP, AR, cashiering and general accounting practices
- Experience in analyzing complex financial information
- Familiarity with U of T financial system, policies and procedures preferred
- Knowledge of basic accounting principles required
- Knowledge of relevant tax and acquisition related legislation
- Experience with integrated library system software an asset.
SKILLS:
- Demonstrated knowledge of advanced management and financial accounting; solid analytical and statistical ability
- Knowledge of Canadian taxation and internal controls
- Intermediate to advanced knowledge of spreadsheet applications and good knowledge of word processing software, preferably Excel and Word
- Demonstrated knowledge of financial systems. Knowledge of the University’s Financial Information System (SAP R/3), budgeting and financial policies and procedures would be an asset
- Demonstrated ability to apply accounting and budgeting knowledge to effectively identify and resolve pertinent financial and customer service issues and improve processes
- Demonstrated ability to design financial reports and present information which clearly conveys a solid understanding of accruals, accounts payable, reconciliation of accounts, transfers, variance analysis, data collection and internal recoveries
- Ability to communicate financial information to individuals with little financial experience
OTHER:
- Must be highly self-motivated and sustain a high degree of initiative.
- Ability to foster and maintain effective relationships with all levels of faculty, staff, students, senior administration and external contacts.
- Ability to exercise judgment in prioritizing and time managing the competing demands of day-to-day work with strong service orientation.
- Ability to organize and manage high volumes of paperwork while working alone or as part of a team;
- Ability to respond to and initiate change and to work well under pressure; demonstrated attention to detail.
- Experience in redefining and automating business processes as well as involvement with planning and implementing the deployment of new application software and upgrades involving the integration of systems would be as asset.
