Your opportunity:

The UHIP Records and Data Administrator will provide operational oversight of the various backend systems used to administer the University Health Insurance Plan (UHIP) by the Centre for International Experience. Reporting to the Assistant Director, International Student Services, the UHIP Records and Data Administrator ensures the maintenance of student UHIP records, databases and data transfers by overseeing the data collection and analysis processes, creating and updating student records, and verifying and reconciling data errors. The Administrator supports the UHIP team with gathering statistical data on operational outputs, preparing reports and visualizations, employing standard operational procedures, and creating training guides for UHIP staff. The incumbentis the first point of contact for any student record related enquiries and in consultation with the Assistant Director, advises and leads on record management best practices and procedures. The incumbent provides operational support to the Assistant Director and UHIP team by liaising with internal and external contacts to troubleshoot and resolve data-related technical issues, and responds to systems requests in a timely fashion. The incumbent will also perform data checks by comparing a variety of enrollment reports.

Your responsibilities will include:

  • Producing complex statistical and/or financial reports
  • Monitoring system functionality and preparing standard reports
  • Conducting detailed data analysis to inform management decision making
  • Creating and updating student records
  • Running queries to gather data
  • Verifying and reconciling data errors
  • Facilitating educational workshops and seminars
  • Advising students on program and/or course matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background

Essential Qualifications:

  • Bachelor's Degree in a relevant discipline or an equivalent combination of education and experience.
  • Minimum of 3 years of related experience in supporting back-end systems and servers for student data management systems is required.
  • Of the 3 years related experience, a minimum of 3 years demonstrated experience in database records administration for a student service such as university health insurance or equivalent is required.
  • Of the 3 years related experience, aminimum of 3 years demonstrated experience identifying and resolving systemic data integrity issues and working with multiple student management systems stakeholders is required.
  • Proven experience generating reports and data requests from multiple data management systems, integrating the data within other systems, deployed by UofT, and creating data visualizations required.
  • Demonstratable experience troubleshooting and advising management on process efficiencies and efficient coordinationof operations required.
  • Demonstrated knowledge of multi-campus international student support services and international student experience from the Student Life lens required.
  • Demonstratable experience advising on and documenting standardoperating procedures is required.
  • Demonstratable experience maintaining a file retention program is required.
  • Demonstrated advanced skills with Excel, Tableau, Azure, Power-Bi, Word, PowerPoint, Microsoft Forms, ROSI/ACORN (or equivalent student data systems), SharePoint, and data privacy required.
  • Understand of and experience updating relational databases.
  • Experience writing and updating SQL to query large data sets.
  • Techniques for detecting and addressing data quality issues.
  • Excellent communication, teamwork and intercultural skills required.
  • Proven experience in working in flexible environments and in dealing with uncertainty is required.
  • Demonstrated high level of accuracy is required.
  • Knowledge of international student transitions into international higher education landscapes required.
  • High levels of attention to detail, problem solving, and quality control required.
  • Exceptional time management skills and demonstratable experience responding to and resolving time sensitive requests is required.
  • Demonstratable experience following rules and procedural processes related to FIPPA required.
