The School of the Environment serves as an interdisciplinary centre for environment and sustainability education, creating new knowledge, training future leaders, and contributing to positive environmental and social change from the local to the global scale. As an extra-departmental unit within the Faculty of Arts & Science, our faculty are commonly cross-appointed with other departments and units at the University of Toronto. We offer undergraduate programs in Environmental Science and Environmental Studies, a Master of Environment and Sustainability, and two graduate Collaborative Specializations in Environmental Studies and Environment & Health. Our goal is to foster positive change for a sustainable future through interdisciplinary research, teaching, and collaboration.

Your opportunity:

The Administrative & Project Coordinator will be responsible for planning and coordinating the implementation of initiatives, directives, and special projects associated with the research associate director and academic director portfolios and in response to related, identified priorities of the School. This role will act as a project coordinator and liaison between the academic director, the department manager and the associate directors. They will conceptualize, integrate, support and evaluate initiatives, directives, and special projects arising throughout the co-curricular, event, and research programming at the School. The Administrative & Project Coordinator will provide related administrative support in matters relating to a variety of programs, committees, and working groups as assigned. The Administrative & Project Coordinator will also provide research support, data coordination and reporting and will prepare a variety of communications and correspondence.

Your responsibilities will include:

  • Executing assigned tasks according to production schedules and project plans
  • Building and strengthening relationships with stakeholders and partners of strategic importance
  • Co-leading project initiatives and serving as a liaison across portfolios for multiple projects
  • Tracking and collecting information on project progress
  • Informing senior staff of impeding deadlines, concerns or setbacks
  • Generating reports, providing analysis and abstracts
  • Writing routine documents and correspondence, proofreading, checking content for accuracy and appropriate tone
  • Directing a small group in a limited area, including responsibility for scheduling and/or workflow

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum five (5) years of relevant experience with administrative and project coordination, with a minimum of one (1) year in a university environment.
  • Experience with organizing, scheduling and tracking multiple projects and timelines.
  • Experience facilitating and supporting working groups and committees, including minute taking, preparing agendas and supporting material, and delivering presentations.
  • Experience with data coordination and reporting, including working with databases and conducting analysis.
  • Experience writing communication material, including correspondence with faculty, staff, and students or equivalent audiences.
  • Advanced skills in Microsoft Office Suite including Teams, Outlook, Excel, Word, Access, PowerPoint, Planner and SharePoint.
  • Strong planning, organizational, analytical, time-management and problem-solving skills, with ability to adapt to changing priorities.
  • Strong and accurate data entry, word-processing and keyboarding skills.
  • Demonstrated ability to design and deliver engaging presentations.
  • Excellent verbal and written communication skills with demonstrated ability to explain process and procedures accurately and effectively with a wide and diverse range of people.
  • Proven understanding and application of equity, diversity, and inclusion principles in a university environment.
  • Strong customer service orientation and effective interpersonal skills to engage with students, staff, and faculty with professionalism and tact.
  • Discretion in handling confidential information.
