Established in 1978, African Studies is a leading undergraduate program in the field in Canada and one of the top programs in North America. The African Studies Centre provides students unique opportunities to study the complexity and dynamism of African societies, the dynamics of processes of socio-economic, cultural, environmental, and political transformations in Africa. Students study the varied histories, ideas and institutions of Africa and its diasporas through interdisciplinary and transdisciplinary lenses. The African Studies Centre fosters a vibrant intellectual, social and cultural hub of academic excellence with a shared ethos and commitment to public scholarship, social justice, engaged scholarship and a praxis of inclusivity, epistemic diversity, and reflexive community engagement. For nearly half a century, African Studies has trained generations of diverse students, changemakers, scholars and leaders widely known for their ethical commitment to making a difference in the world, global citizenship, social justice, and ethical responsibility.

Reporting to the Director of African StudiesCentre, the incumbent will play a pivotal role in developing the African Studies Centre’s communication platform and providing student support for The Centre’s Undergraduate Programs. The incumbent will help promote The Centre’s activities, coordinating internal and external messages, establishing outreach, coordinating community engagement events, and maintaining web content. The Undergraduate and Communications Coordinator will be responsible for recommending strategies to align websites and social media according to communication objectives.

This position acts as the first point of contact for undergraduate student program issues and concerns, scheduling appointments for prospective students, applicants, and current studentsto address individual needs. Other duties include troubleshooting course timetabling and room booking conflicts and handling the day-to-day administrative functions.

Your responsibilities will include:

  • Maintaining information on digital platforms
  • Verifying the accuracy and completeness of information
  • Scheduling appointments for prospective students, applicants, and current students to address individual needs
  • Troubleshooting timetabling and/or room booking conflicts
  • Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors
  • Checking that program requirements are complete
  • Preparing and disseminating curriculum cycle timetables
  • Keeping well-informed on The University's programs, policies and procedures

Essential Qualifications:

  • Bachelor's Degree in a relevant discipline, or an acceptable equivalent combination of education and relevant experience.
  • Minimum four (4) years of relevant experience in a post-secondary environment providing administrative support in undergraduate student services and program administration and preferably having some experience with Communications/Outreach support activities.
  • Experience providing front-line student services and detailed information on programs of study and other related information through both face-to-face and digital media.
  • Experience providing administrative support to undergraduate programs, including entering student data and preparing reports, coordinating room assignments, and maintaining files and records.
  • Demonstrated experience coordinating timetable and exam schedules.
  • Demonstrated ability to coordinate and implement creative digital and print communication initiatives (i.e. newsletter, promotional flyers, website updates), preferably in a non-profit or an academic environment.
  • Proven ability to administer social media platforms and write for a web audience.
  • Familiarity with posting, tagging, and sharing procedures in popular social media platforms (e.g. Facebook, Instagram, Twitter, YouTube, Reddit, etc.)
  • Strong organizational skills to coordinate the logistics of meetings and special events, including preparation and distribution of promotional/outreach materials.
  • Skilled with interpreting, applying and advising on rules, guidelines, and procedures.
  • Excellent communication (oral and written) and interpersonal skills with the ability to promptly respond to inquiries with clarity.
  • Demonstrated time-management skills with the ability to effectively prioritize, multi-task and organize work, and meet tight deadlines while paying attention to detail.
  • Demonstrated skills and ability to provide effective guidance and advice to students in a responsive, empathetic, thoughtful, and discreet manner.
  • Advanced skills with Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook).
  • Intermediate experience using ROSI, ROSI Express, Degree Explorer, Quercus, or similar student information systems, to enter data, retrieve information, and compile reports.
  • Demonstrated strong student service orientation and ability to foster equity, diversity and inclusion in a post-secondary environment.

  • Knowledge of Faculty of Arts and Science curriculum policies and regulations.

USW Pay Band 09 -- $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
