About us:

The University of Toronto Entrepreneurship Hatchery (The Hatchery) provides a comprehensive suite of programs and services designed to help students with entrepreneurial ambitions form teams, develop new competencies and launch their Startup companies. Over the last ten years, The Hatchery has helped to launch over 100 new startups, which collectively have raised about $100 million in seed funding. The goal of The Hatchery is to develop the entrepreneurial human capital and launch start-ups within the Faculty of Engineering and the University at large.

Your opportunity:

The Hatchery Operations Lead plays a key role in the development and efficient and accountable administration of the University of Toronto Entrepreneurship Hatchery (The Hatchery) resources and brings the highest standards of professionalism and dedication to achieve maximum quality and productivity. Duties and responsibilities include among others: overseeing day-to-day operational needs of the unit, implementing plans and process improvements for administrative workflow, responding to enquiries within the defined scope of the role and redirecting as appropriate. Coordinating meeting schedules, agendas, materials, action and follow-up items. Acting as the first point of contact for general enquiries. Drafting internal and external communications. Keeping well-informed on policies, rules, regulations and guidelines. Determining logistical details and activities for events and/or programming. Handling sensitive and/or confidential information. Ordering supplies within established limits. Serving as a resource to others by providing (non-supervisory) job-related guidance. The incumbent liaises with other Hatchery leads to coordinate efforts in fulfilling the Hatchery’s goals.

Your responsibilities will include:

  • Coordinating operational needs related to Hatchery programs in collaboration with Hatchery’s Go-to-Market Lead, Programs Lead, Information technologies Lead and Executive Director.
  • Coordinating work study program requirements
  • Acting as the first point of contact for general enquiries and overseeing day-to-day operational needs of the Entrepreneurship Hatchery
  • Implementing plans and process improvements
  • Coordinating external counsel requests regarding agreements
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Determining logistical details and activities for events and/or programming, and tracking expenses for events
  • Preparing draft statistical reports and summaries from data collected

Essential Qualifications:

  • Advanced College Diploma (3 years) or an acceptable combination of equivalent experience.
  • Three years of related administrative experience preferably in an academic environment
  • Experience with providing administrative support including drafting and executing letters of offer, registration for programs (i.e. UofT Work-Study program)
  • Experience with administering financial administrative support including preparing expenses and overseeing and administering budgetary accounts
  • Experience with preparing written correspondences such as documentation and reports
  • Experience working with students and programs, in Engineering or related field
  • Experience with event planning, event coordination, and tracking event budgets
  • Strong administrative and critical thinking skills
  • Ability to initiate activities without specific instructions, anticipating requirements
  • Excellent communication (written and oral), and editing skills
  • Demonstrated time management skills to work with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy
  • Effective collaboration skills
  • Ability to conduct ad hoc online research and data analysis, data collection and preparing reports
  • Ability to engage with internal and external stakeholders with a high degree of professionalism, tact and composure
  • High standards of customer service


Assets (Nonessential):

  • An MBA or University degree would be considered an asset
  • Experience working with incubator/entrepreneurial operational activities
  • Experience in a University, College or non-profit environment
  • Experience working with policies and procedures within an academic setting
  • Basic graphic and document design
