Your opportunity:

The Rehabilitation Sciences Sector (RSS) in the Temerty Faculty of Medicine is a worldleader in the delivery of rehabilitation sciences health professional programs and research. The RSS is comprised of four essential departments: Department of Occupational Science and Occupational Therapy (OSOT), Department of Physical Therapy (PT), Rehabilitation Sciences Institute (RSI), and the Department of Speech-Language Pathology (SLP).

As Administrative Assistant to RSI Director, you will provide confidential administrative support to the Director of the Rehabilitation Sciences Institute (RSI) and the RSI executive team. You will provide administrative support by managing calendars, organizing and supporting events and meetings, drafting a range of communications, and supporting the creation of reports and other resources. Your exceptional communication skills combined with your high degree of professionalism and independence will be essential to your success in this role.

Your responsibilities will include:

  • Maintaining calendars on behalf of senior leadership, scheduling appointments, coordinating travel arrangements, booking rooms and arranging accommodations
  • Drafting documents and correspondence and editing content for digital media and grant applications
  • Determining logistics for events and coordinating meetings, including taking minutes, preparing agendas and following up on action items
  • Researching and identifying opportunities to promote programs and initiatives
  • Collating and organizing data for reports and analyzing survey results

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three (3) years’ of related administrative experience, preferably within a university setting
  • Demonstrated experience supporting senior leadership, including maintaining complex calendars, coordinating travel arrangements and booking accommodations
  • Demonstrated experience coordinating events and experience supporting committees, including demonstrated proficiency in taking complex minutes independently, with little editing required
  • Experience drafting materials, editing grant applications and preparing and formatting presentations
  • Experience collecting, analyzing and presenting questionnaires and survey results for review
  • Experience with basic account reconciliation
  • Advanced technical skills in MS Office Suite, particularly MS Excel, survey tools and virtual meeting platforms
  • Excellent oral and written communication skills
  • Excellent organizational skills, time management and problem-solving skills
  • Demonstrated ability to work effectively with diverse groups, understand the value of diversity and inclusion in the workplace and must be an advocate for equity
  • Must be an effective problem solver and have exceptional organizational and time management skills, with an ability to work under pressure and balance competing priorities
  • Strong commitment to accuracy and attention to detail
  • Professional demeanor with a strong customer service orientation and effective interpersonal skills
  • Ability to work independently, exercise diplomacy and good judgment; and also the ability to work cooperatively
  • Proven effectiveness in relating to all levels of faculty, staff, students and individuals external to the University
  • High degree of personal integrity and honesty
